Let AI Answer Your Customers (Without Losing Your Voice)

If you run a small business, you answer the same messages over and over: is this in stock, can you do Saturday, what happened to my order, can I get a refund. It is 9pm work, and it is exactly what AI is good at, if you teach it to sound like you.

The one-time setup

Write three sentences about how you talk to customers. For example: “I am friendly but brief. I always thank people for reaching out. I never make promises about dates I cannot keep.” Save those sentences in a note. That is your voice card, and you will paste it into every request.

The daily move

When a tricky message arrives, type: “Here is how I talk to customers: [paste your voice card]. Draft a reply to this message: [paste their message]. Key facts: [the truth of the situation].” The draft comes back sounding like a calmer you after a better night of sleep.

The rule that keeps you safe

AI drafts, you decide. Read every reply before sending, and never let it invent facts, discounts, or delivery dates you did not give it. If a message involves a legal threat, a big refund, or an angry regular, slow down and write that one yourself. The tool is for the twenty routine replies, so you have patience left for the two hard ones.
